Export your data from Square

Square can export three types of CSVs from the Dashboard: Transactions, Item Sales, and Inventory. Each has different columns and is useful for different analyses.

Not sure which export to use? Start with Transactions for revenue and payment-type analysis, or Item Sales to see which products are performing.

1. Transactions export

Contains one row per payment or refund. This is the most useful export for revenue totals, payment-method breakdown, and day-by-day sales tracking.

How to export

  1. Sign in to your Square Dashboard.
  2. In the left sidebar go to Reports โ†’ Transactions.
  3. Use the date picker at the top to select your range (up to 1 year at a time).
  4. Click Export in the top right and choose Export as CSV.
  5. The file downloads immediately โ€” no email needed for most date ranges.

What to watch for

  • Refunds appear as separate rows with a negative Total Collected and Event Type = Refund.
  • Money columns use $ prefixes and commas โ€” Databird handles these automatically.
  • The Partial Refunds column shows the refunded amount on the original payment row.
  • Online orders have Source = Square Online and Entry Method = Card Not Present.

2. Item Sales export

Aggregated by item โ€” one row per catalog item (or variation). Shows units sold, revenue, and returns. Useful for spotting best-sellers and slow movers.

How to export

  1. Go to Reports โ†’ Item Sales in the sidebar.
  2. Set your date range.
  3. Optionally filter by Location or Category.
  4. Click Export โ†’ Export as CSV.

What to watch for

  • If you sell item variations (e.g. sizes), each variation gets its own row.
  • Items with no SKU assigned will have a blank SKU column.
  • Modifiers (add-ons) appear as separate rows below the parent item.

3. Inventory export

A snapshot of current stock levels for every tracked item variation. Useful for reconciliation and identifying items below their reorder threshold.

How to export

  1. In the sidebar go to Items โ†’ Inventory.
  2. Select the Location if you have multiple.
  3. Click Export at the top right.
  4. Square emails the file to your account email address (usually arrives within a minute).
The inventory export is a current snapshot โ€” it does not include historical stock levels. Run it regularly and upload each snapshot to Databird to track changes over time.

Upload to Databird

  1. Open the Dashboard.
  2. Drag any of the three CSVs onto the upload zone, or click to browse.
  3. Databird detects numeric columns automatically โ€” Gross Sales, Net Sales, Tax, Quantity Sold, and others will all show stats immediately.
  4. The full data table appears below the stats so you can scroll and verify your numbers.
